Directory — parking zone for your customers

What is the Directory?

The directory is a parking zone for customers who are not in active collection. Unlike active customers (the Active Customers page), customers in the directory:

  • Do not count toward your plan's active customer limit
  • Receive no automated communication (no emails or SMS)
  • Are removed from all schedules and automations

The directory lets you keep customer data without consuming active slots.


Accessing the Directory

In the sidebar, click Directory. The page displays two tabs:

Reserve

Customers newly added or imported who have never been activated. They are waiting to be put into service for the first time. These customers can be permanently deleted since no activity has occurred on their file.

Archived

Customers who have already been active and have a history (payments, emails, SMS, reminder sequences). These files are kept as proof and cannot be deleted. They can be reactivated if needed.


Move a Customer to the Directory

From the Active Customers page, customers are always moved to the Archived tab of the directory, since they have had activity.

From the active customer table

  1. Select one or more customers in the table
  2. Click Move to Directory in the bulk action bar
  3. Confirm

From the customer profile

  1. Open the customer profile
  2. Use the Move to Directory action

What happens:

  • The customer is removed from all active schedules
  • All reminder sequences stop immediately
  • The customer disappears from the Active Customers page and appears in the Archived tab of the directory

Activate or Reactivate a Customer

From the Reserve tab — Activate

The Activate button puts the customer into service for the first time.

  1. Select one or more customers in the Reserve tab
  2. Click Activate
  3. Confirm

From the Archived tab — Reactivate

The Reactivate button puts a customer who has already been active back into service.

  1. Select one or more customers in the Archived tab
  2. Click Reactivate
  3. Confirm

In both cases:

  • The customer moves back to the Active Customers page
  • Their status is reset to On Track
  • You will need to assign a schedule to start reminders

Note: Activation is subject to your active customer limit. If you have reached your quota, you will need to free up slots or upgrade your plan.


Import Customers into the Directory

Bulk customer import is done exclusively from the directory:

  1. Go to Directory (tab Reserve)
  2. Click Import a List
  3. Follow the import wizard (see Import Customers in Bulk)

Imported customers arrive in the Reserve tab of the directory. You can then activate them individually or in bulk.

Adding a customer manually is possible from the directory (Reserve tab) or from the Active Customers page.


Directory Limits

Your plan includes a directory slot limit, separate from the active customer limit. The directory limit is typically 5 times the active customer limit of your plan.


Permanent Deletion

Permanent deletion (purge) is only available from the Reserve tab:

  1. Select customers in the Reserve tab
  2. Click the Delete button (trash icon)
  3. Confirm — this action is irreversible

Customers in the Archived tab cannot be deleted. Their communication history, payments, and actions must be kept for legal and regulatory purposes.

Important: A customer cannot go directly from Reserve to Archived. They must first be activated and go through the active customer stage.
